AI Transparency Notice
Contents
Version of 30 October 2026.
Bookfairy is a toolkit for self-publishers run by Orbita Media GmbH, Hamburg, Germany. Several tools work with artificial intelligence systems. This notice explains openly where that is the case, what it means for your results and what you need to watch out for yourself. It implements the transparency obligations under Article 50 of Regulation (EU) 2024/1689 (the EU AI Act) and supplements § 9 of our Terms and Conditions.
1. In short
- When you use a tool marked "AI", you are working with an AI system, not with a person.
- Texts, images and suggestions from these tools are generated or revised by AI. They are suggestions, not verified facts.
- You decide what goes into your book. Nothing is published without your action.
- If you publish a book with AI-generated content, you may have to disclose it depending on the platform, for example when you upload it to Amazon KDP.
- We do not train AI models on your content unless you have expressly and separately agreed to it.
2. Which features use AI
| Tool | What the AI does | Result |
|---|---|---|
| Write a book | develops an outline, chapters and text from your idea | AI-generated text |
| Editing | checks your manuscript in six passes: spelling, grammar, style, logic and consistency, fact and source check with web search, final proofread | suggested changes in a tracked-changes view |
| Cover | generates and edits images, sets the title and design | AI-generated or AI-edited images |
| Blurb | writes descriptions for the back cover and the store page | AI-generated text |
| Titles | suggests titles and subtitles | AI-generated suggestions |
| Categories and keywords | selects categories and search terms based on market data | AI-generated suggestions |
| A+ Content | creates modules with images and text for the Amazon detail page | AI-generated images and text |
These work without generative AI:
- Typesetting: The interior layout for print and PDF follows fixed rules. Your text is not rewritten.
- EPUB: The conversion into an ebook follows fixed rules. At most, AI helps recognize structure and images; your text stays as it is.
- Free tools: The QR code generator, spine width calculator, KDP cover template, ISBN barcode, printing cost calculator and words-to-pages estimator calculate without AI.
Which providers and models we use and where the data is processed is set out in section 4.9 of the Privacy Policy.
3. How you can tell it is AI
- Tools and buttons that use AI are marked as such in the application.
- In editing, you see every suggested change individually in a tracked-changes view.
- Where Article 50(2) of the AI Act requires it, we additionally mark AI-generated images and files in a machine-readable way, for example in their metadata. Please do not remove this marking when you pass the files on.
4. You stay in control
AI results are drafts. You read, change, discard or accept them. In editing, you accept or reject each change individually; only your decision changes the text. You can regenerate covers, texts and suggestions or edit them yourself. Uploading to Amazon or other platforms is something you do yourself.
You remain responsible for what you publish (§ 9(3) of the Terms and Conditions).
5. Limits of AI
AI systems are useful, but not infallible. Please expect the following:
- Facts can be wrong. AI can invent or mix up figures, names, quotes and sources. The fact and source check in editing searches the web for evidence and flags doubts. It is an aid, not a guarantee. For nonfiction it does not replace your own review, and for health, legal or financial topics it does not replace a review by an expert.
- Style and tone do not always match your intention. Read changes in context.
- Similarities: The same or similar results may also be shown to other users. There is no exclusivity (§ 9(4) of the Terms and Conditions).
- Copyright: Purely machine-generated results are generally not protected by copyright. The more you write and design yourself, the more the work is yours.
- Third-party rights: AI can pick up trademarks, characters or visual styles that belong to others. Check covers and titles in particular before you publish.
- Timeliness: Categories, search terms and market data change. Suggestions reflect the situation at the time they were created.
6. Disclosure when you publish
Anyone who publishes AI-generated content must follow the rules of the platform concerned and the law (§ 9(6) of the Terms and Conditions).
Amazon KDP. Amazon requires you to tell it about AI-generated content when you publish a new book, meaning text, images or translations created by an AI tool, even if you edited them substantially afterwards. You do not need to disclose AI-assisted content: content you created yourself and only refined or checked with AI. For Bookfairy, this generally means:
| What you did | Classification at KDP |
|---|---|
| Checked your own text with editing and accepted changes | AI-assisted, no disclosure needed |
| Generated text or chapters with "Write a book" | AI-generated, disclose |
| Generated a cover image or illustration with AI | AI-generated, disclose |
| Used a blurb, title or A+ text from the AI | if in doubt, disclose |
The current Amazon KDP Content Guidelines are what counts, not this table. Other platforms and directories have their own rules; check them before you upload.
EU AI Act. Anyone who publishes AI-generated or manipulated images that closely resemble real people, places or events (so-called deepfakes) must disclose that they are artificially generated. The same applies to AI-generated text published to inform the public on matters of public interest, unless a person has reviewed it and holds editorial responsibility (Article 50(4) of the AI Act). For a novel with fictional characters this usually does not apply to you; for a nonfiction book on current political or social issues it may.
7. Your content and AI training
We only send your content to AI providers to the extent needed for the result you ordered. We call the providers through their programming interfaces (APIs). We ourselves do not use your content to train, fine-tune or improve AI models unless you have separately and expressly agreed to this (§ 8(3) of the Terms and Conditions). For the AI model intermediaries in Hong Kong and in the USA and the parties they use, we cannot rule out that they use content under their own terms, including to improve their services and models; details are in sections 4.9 and 7 of the Privacy Policy. The rights to your manuscript remain yours.
8. Questions and reports
If an AI result seems problematic to you, for example because it might infringe third-party rights or states false facts, write to us at support@getbookfairy.com. We look at every report.
We update this notice when tools, providers or legal requirements change.
